What is change management? Change management is a set of processes that are employed to ensure that significant changes are implemented in an orderly, controlled, and systematic fashion. It also aids the project team to adapt to the change. A change control process minimizes scope changes, reduces or eliminates scope creep, and performs analysis to assess the impact of the change before implementing the change. An effective change control process follows the following key principles:
Any proposed scope change is documented, evaluated, and approved before it is implemented.
The appropriate stakeholders are involved in the change evaluation and approval process.
Any change request is thoroughly assessed for impact to other project critical success factors, especially project schedule and budget.
The appropriate management level approves any change request before it is implemented.
All project changes are documented and communicated to all stakeholders.
Any stakeholder is permitted to submit a project change request.
Although it is beneficial to be prepared for project changes when they occur, the project team should put in the appropriate level of effort in preventing the need for change in the first place. To do so, the project manager should ensure that the project is clearly defined, requirements are solid, traceability exists, formal acceptable is received on all project documents/phases, and full stakeholder engagement takes place as defined in the Stakeholder Register.
A Change Request is used to change any aspect of the project. It can pertain to a project, product, documents, requirements, a specific project task, or any other aspect of the project. Upon completion of a Change Request form, it is submitted to the Change Control Board or other similar body for review and approval. Typical information contained in a Change Request form include:
The name of the person requesting the change
An identifier, such as the change number
Change category
A detailed description of the proposed change
Justification of the change
Change impacts (on the project and/or organization) such as scope, quality, requirements, cost, schedule, or project documents
Disposition of change
Approval signatures of Change Control Board
For this assignment, you will develop a change management process flow diagram and log for your project. Leverage information from the assigned and supplemental readings and the assignment introduction to complete this task. The flow diagram can be developed in MS PowerPoint and the Log can be developed in MS Excel. Both documents must be submitted to receive full credit.
